Leisure Membership Terms & Conditions
1. Definitions
‘Club’ – The leisure, fitness and wellness facilities operated by the Company, including any replacement or successor facilities.
‘Member’ – Any person holding an active leisure membership, which includes access to gym and pool facilities.
‘Company’, ‘we’, ‘us’, ‘our’ – The legal entity owning and operating the Club.
‘Rules’ – These Terms & Conditions and all additional policies or guidelines issued by the Club.
‘You’ – The individual named on the membership agreement and any linked family members.
2. General Conditions
Members agree to comply with the Rules. The Club may issue notices by email or letter, and members must keep their contact details updated. The Club may amend these Terms with at least 30 days’ notice. Memberships are non-transferable and only members named on the application form are permitted to use the facilities. Any guest must pay the standard entry fee at Reception.
3. Leisure Membership
A leisure membership provides access to gym and pool facilities during standard opening hours. The Club may adjust membership benefits or offerings with 30 days’ notice. Promotional or short-term offerings may be introduced at the Club’s discretion.
4. Membership Fees & Payments
A subscription fee applies. Monthly memberships must be paid in advance by Direct Debit. Annual memberships are paid in full on joining and upon renewal. The Club may adjust fees annually with 30 days’ notice. Failed payments must be settled within 7 days and will incur an administration fee of £5.00. Cancelling a Direct Debit does not cancel the membership.
5. Membership Term & Cancellation
Memberships have an initial minimum term of 12 months unless stated otherwise. After this period, members may cancel with 30 days’ written notice. Notice must be provided via email, recorded post, or hand delivery. The Club may cancel immediately for serious misconduct or breaches. Membership cards must be returned upon cancellation.
6. Membership Suspension
Members may request suspension for medical reasons (with a doctor’s letter) or exceptional circumstances at the Club’s discretion. Suspensions may last 1–12 months. Members may not use facilities during suspension. Suspension does not replace cancellation notice requirements.
7. Children & Junior Policy
Children under 16 must be accompanied by an adult member at all times. Children under 16 may not use spa facilities. Gym access is restricted to adults unless part of a supervised program. Children aged 8 or older may not enter opposite-sex changing rooms unless family changing options are available.
8. Facilities & Access
Members may use facilities included in their leisure membership. Facilities may temporarily close for maintenance, cleaning or safety reasons. If a key facility is unavailable for more than 21 consecutive days, reasonable compensation may be considered. Members must follow safety instructions and wear appropriate clothing. Showers are required before pool use.
9. Personal Belongings & Lockers
Lockers are for day use only. Items left overnight may be removed and held in lost property for up to 3 months. The Club is not liable for loss or damage except where caused by negligence.
10. Conduct & Behaviour
Members must act respectfully toward staff and others. Abusive, unsafe or disruptive behaviour may result in immediate removal and cancellation of membership. Alcohol or illegal substances are prohibited on the premises.
11. Health & Safety
Members are responsible for ensuring they are fit to exercise and should seek medical advice if unsure. The Club is not liable for injuries unless caused by negligence. All accidents must be reported immediately.
12. Pets
Only registered assistance animals are permitted unless otherwise authorised.
13. Data Protection (GDPR)
The Club processes personal data in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Personal data is collected for the purposes of managing memberships, ensuring facility safety, processing payments, and providing relevant Club updates.
Members have the right to access, correct, restrict or request deletion of their personal data. Requests can be submitted to the Club’s Data Protection Officer. Personal data will not be shared with third parties except for payment processing, debt recovery, or where legally required.
All personal data is stored securely and retained only for as long as necessary for the purposes for which it was collected. A full Privacy Policy is available upon request.
14. Privacy & Communications
By becoming a Member, you acknowledge that the Club may contact you regarding operational updates, safety notices, membership administration and service-related information. Members may also opt-in to receive marketing communications; consent for marketing can be withdrawn at any time.
The Club does use CCTV within the premises for safety, security and crime prevention. CCTV footage is retained securely and only accessed by authorised personnel.
